Custom employee fields
Custom employee fields
The standard master data in Shiftdesk covers the most common HR requirements. If you need additional fields of your own β such as "Driver's license class", "T-shirt size", or "Date of last safety briefing" β you create them as custom fields.
Creating a custom field
- Go to Settings β Employees β Custom fields.
- Click Add field.
- Fill in the properties:
- Save with Create.
Available field types
| Type | Description | Example |
|---|---|---|
| Text | Free text, single line | "B, BE, C1" |
| Number | Numeric value | 42 |
| Date | Calendar date | 2026-03-15 |
| Checkbox | Yes/no | First-aid certificate available |
| Select | Dropdown with options | XS / S / M / L / XL |
Where custom fields appear
All created fields are visible and editable in the employee profile under the Additional information tab. With the HR full access permission, they can be filled in β restricted roles see the fields, depending on the configuration, as read-only or not at all.
Required fields
If you mark a field as required, it must be filled in when creating or editing an employee. Useful, for example, for safety-relevant information such as "Last safety briefing".
Visibility for employees
If you enable Visible to employee, the employee also sees the field in their own self-service profile. You can additionally allow them to edit it themselves (e.g. T-shirt size).
Changing a field later
You can rename existing fields or change their required status. You cannot change the field type later β if you want to switch from text to date, for example, create a new field and transfer the data manually.
Reports and filters
In the employee list, you can filter by custom fields and show them as a column. This way you can quickly find, for example, all employees with a valid forklift license.
