Working-time account corrections (payout, transfer, adjustment)
Working-time account corrections
A working-time account does not develop in a linear way. Employees want to have plus hours paid out, minus hours from previous years are meant to be waived, or a balance is converted into vacation days. For all of this there are corrections.
Correction types
| Type | Effect | When to use |
|---|---|---|
Add (\add\) | Credit hours (+) | Flat-rate bonus hours, forgotten recording |
Subtract (\subtract\) | Deduct hours (-) | Time recorded twice by accident |
Set absolute (\setabsolute\) | Set the balance to a target value | Year change, takeover from a legacy system |
Pay out (\payout\) | Deduct hours and write them into the wage journal as a payout | Employee has plus hours paid out |
Transfer to vacation (\transfertovacation\) | Convert hours into vacation days | Employee chooses time off instead of money |
Take over from vacation (\transferfromvacation\) | Convert vacation days into hours | Remaining vacation would otherwise expire |
How to create a correction
- Go to Working-time account.
- Click the affected employee.
- Choose Create correction.
- In the dialog: select the correction type, enter hours and minutes.
- Write a note — the reason is required and is stored in the audit log.
- Check the preview: Shiftdesk shows the new balance and, if applicable, the payout amount.
- Save.
Payout calculation
For a payout, Shiftdesk calculates:
\Payout amount = hours × hourly rate\
The hourly rate is pre-filled from the employee record but can be overridden in the dialog. The payout appears in the wage journal as a separate line item for the following month.
Who may make corrections?
- Manager: Corrections of type \
add\, \subtract\and \setabsolute\for their own department - HR / Admin: All types, including payouts and vacation transfers
- Employee: No direct corrections, only requests
Locking effect
Corrections for a locked month are not possible. You must either reopen the month as an admin (with a reason) or create the correction in the following month.
Tip
Keep corrections as rare as possible. If you need them frequently, there is usually a configuration problem at the root — see Tracking modes and Working-time account basics.
