Understanding the vacation account

Each vacation account in Shiftdesk consists of four values. You find them under Absences in the Vacation accounts {year} section as a card per employee.

The four metrics

  • Entitlement: the contractual annual vacation, e.g. 24 days.
  • Carryover: remaining days from the previous year that were carried over into the new year.
  • Used: the sum of vacation days already approved in the current year.
  • Remaining: the days still available. Calculated automatically.

Formula

Entitlement (total) = Entitlement + Carryover
Remaining = Entitlement (total) - Used

A concrete calculation example

Imagine the employee Lisa Müller:

So the account card shows: Entitlement 29 days, Taken 12 days, Remaining 17 days.

Warning threshold

When the remaining balance drops to 3 days or fewer, the value is shown in red on the card. This lets you see at a glance when the allotment is almost used up.

What counts toward usage?

Only absences of type Vacation with status Approved increase Used. Requested, rejected, or cancelled requests are not counted. Sick notes, parental leave, and special leave do not draw down the vacation account.
