Calculation explained
First, weekly operating hours are multiplied by the number of employees who must be present at the same time. This produces the coverage hours your team needs to deliver each week.
The absence rate combines leave, sickness, training and other planned or unplanned absences into a capacity reserve. The calculator divides by remaining availability instead of adding a flat percentage surcharge.
The exact result is rounded up to whole people only at the end. For an actual roster, add qualifications, breaks, handovers, peaks and different contract models.
Staffing need = coverage hours ÷ (weekly hours per employee × availability rate)
For shift operations
Calculate continuous coverage for production, care, control rooms or security services.
Combine long opening hours, multiple shifts and a realistic absence reserve.
Estimate base coverage for sales floors, warehouses, dispatch or longer seasonal hours.
Secure minimum coverage for reception, support, leisure services or assisted facilities.
From capacity to roster
The calculator estimates the minimum capacity you need. A robust roster then assigns that capacity to the right people and times.
Turn capacity into a plan
Shiftdesk connects demand, availability and qualifications in ongoing planning. See open shifts, respond to absences and keep changes transparent for the team.
See open and sufficiently staffed shifts directly in the roster.
Plan the right roles and skills instead of counting heads alone.
Coordinate changes, cover and availability in one place.
Transfer your staffing need into an Excel and PDF template with hour calculation and coverage check.
Plan minimum coverage, availability and changes digitally instead of relying on separate calculations.
