Reviewing and approving time entries
As a manager, you are responsible for making sure the recorded working times are correct before they move into Payroll. This article shows you the review and approval workflow.
Where do I find the open entries?
Go to Time log in the dashboard. By default you see the weekly view. Filter in the top right by Status: Pending to show only the entries that have not yet been approved.
Approving entries individually
- Click an entry in the list.
- Review target, actual and deviation in the detail view.
- Review breaks, notes and, if applicable, the GPS stamp.
- Click Approve to release the entry — or Reject with a reason.
Bulk approval
If you want to review many entries at once:
- Set filters (e.g. location, department, date range).
- Select several entries via the checkboxes or choose Show all.
- Click Bulk approve at the top.
- Confirm in the dialog with the number of affected entries.
What does "approved" mean?
- The status changes from pending to approved.
- The entry remains editable until the period is locked.
- Once you close the month (status locked), only an administrator can change it through a reopen.
- Approved and locked entries are carried over into Payroll.
Auto-approve
If your location has auto-approve enabled, entries without a deviation are approved automatically. You then only need to review the exceptions — see Tracking modes for details on the auto-approve tolerance.
Tip
Ideally approve daily, or at the latest weekly. The earlier you review, the easier corrections are.
