Using and managing shift templates
Using and managing shift templates
Shift templates are reusable patterns for typical shifts such as early, late or night. They speed up planning and ensure consistent times.
Creating a template
- Go to Settings and then to Shift templates.
- Click New template.
- Fill in the fields:
| Field | Description |
|---|---|
| Name | Short label such as "Early", "Late", "Night" |
| Start time / End time | Default times of the shift |
| Break | Planned break in minutes |
| Color | Color code for display in the schedule |
| Department | Optional filter so only relevant employees see the template |
| Active | Toggle to show or hide the template across the board |
- Save the template with Save.
Using a template in the schedule
- Click an empty cell in the Schedule.
- In the New shift dialog, open the Template dropdown.
- Choose the matching template. Times, break, color and department are carried over automatically.
- Adjust individual fields if needed, without changing the template itself.
Management and tips
- Department filters keep the list of templates per team clear.
- Inactive templates disappear from the dialog, but existing shifts remain unchanged.
- For more complex patterns, combine templates with recurring shifts.
- Keep the number of templates small, ideally under ten per department. More templates are rarely helpful.
