App: schedule, shift swaps & open shifts

The schedule in the app

In the mobile app, every employee sees their personal schedule and can actively take part — set availability, swap shifts, and pick up open shifts.

Viewing shifts

Under Schedule, three views are available:

  • Day — the shifts of a single day
  • Week — the whole week with net hours per shift
  • Month — calendar overview
Each shift shows the date, time, role/position, location, and break duration. Only published shifts are visible — the planner's drafts appear only after publishing (see Publishing shifts).

Setting availability

In the Availability tab, the employee marks each weekday as available or unavailable and can optionally add a time window (e.g. from 2:00 PM) and a note. The planner sees this in the schedule. More on this: Setting availability.

Swapping shifts

  1. Open the shift and choose Offer swap.
  2. Select the colleagues the shift is offered to, optionally with a note.
  3. If a colleague accepts, the swap goes to the manager for approval.
  4. The swap takes effect only after approval.

Picking up open shifts

Under Open shifts, the employee sees unfilled shifts with date, time, remaining slots, and any application deadline. With Apply, they express interest; the manager confirms or declines. Details: Posting and filling open shifts.

Tip

Those who keep their availability up to date get better-matching shifts and make the planner's job easier.
