Posting and filling open shifts
Posting and filling open shifts
If you don't assign a shift directly to an employee, you can post it as an open shift. Employees can apply for it, and you then decide on the assignment.
Posting a shift
- Go to Schedule and click the Open shifts row.
- Click the cell you want or choose New open shift.
- Fill in the fields, including template, department and minimum staffing.
- Set the application window:
| Field | Meaning |
|---|---|
| Applications from | Point in time from which employees can apply |
| Applications until | Last point in time for applications |
| Mode | open: anyone may apply, closed: only selected employees |
- Save with Post. Employees receive a notification depending on their settings.
Managing applications
- In the Open shifts row, a number shows the applications received.
- Click the shift to see the list of applicants.
- Check qualification, contract hours and possible ArbZG warnings.
- Choose the matching employee and click Assign.
- Optionally you can reset applications with Reject.
Notes
- After the assignment, the shift is removed from the Open shifts list and entered in the employee's schedule.
- The shift only becomes truly binding once the status is Published. See Publishing shifts.
- In closed mode you can manually select the eligible employees, e.g. by qualification or location.
- If the entire workforce declines the shift, it is flagged as unfilled and you have to resolve it manually.
