Minimum staffing per shift

Minimum staffing per shift

With minimum staffing you set how many employees should cover a shift or a period at a minimum. Shiftdesk warns you when the requirement is not met.

Setting minimum staffing

  1. Go to Schedule and click the shift you want.
  2. In the dialog, open the Minimum staffing section.
  3. Enter the number of required employees in the requiredstaffing field.
  4. Optionally you can define the requirement per department or qualification.
  5. Save with Apply.
Alternatively, you define default values directly in the shift template so that every new shift inherits the requirement automatically.

Understanding warnings

Shiftdesk compares the assigned employees with the requirement and shows a staffing ratio in the schedule.

YellowUp to one person missing
RedTwo or more people missing
In addition, a warning appears in the publish dialog if a published shift would be understaffed. You can still publish the shift, but you then have to confirm the warning deliberately.

Tips

  • Set minimum staffing realistically, otherwise warnings get ignored.
  • Combine minimum staffing with open shifts to actively fill gaps.
  • In the week view, check the Staffing column to quickly spot bottlenecks.
  • For predictable peaks, such as weekends, dedicated templates with higher minimum staffing are a good fit.
